Setting Your Availability

You have a number of options to set up your availability calendar. We'll dive into each in more detail below. By using the Create button you can add recurring availability, exceptions to that schedule, and add a session. Additionally, you can sync an external calendar (from Google, Outlook, iCal, or SimplePractice) to ensure you don't double book.

Setting your recurring availability

  1. From your calendar, click Create and select My weekly availability.

  1. You will see an overlay where you can add and remove availability on a daily basis. Use the 🚫 button to delete time ranges and the ➕ to add slots. By clicking on the times within a range, you can change the start and end of a range. Please also be sure the correct time zone is selected while making changes.

  1. By scrolling below the time zone selector you will see options to set your booking preferences which we cover in detail in the next section.

Setting your booking preferences

We know everyone works differently and manages their schedule accordingly. We have introduced booking preferences to allow you greater control over your session schedule. You are able to add buffer time between appointments, set a maximum number of sessions Ours clients can book per day, the maximum number of back-to-back sessions you want to do, and an advanced notice window.

To access your booking preferences, go to your calendar, click Create and select My weekly availability. Then scroll below the time zone selector to input your preferences.

Scheduling exceptions

This is built to accommodate changes to your schedule like a holiday, vacation time, personal time, or one-off availability.

  1. Go to your calendar, click Create and select Schedule exceptions.

  1. Click Change another date's availability to create an exception. Select the date on the calendar and choose whether you will be available or unavailable. Click Modify dates availability to save changes.

  1. By clicking on the times within a range, you can change the start and end of a range. Use the 🚫 button to delete time ranges and the ➕ to add another timeframe for the same day.

Batch Scheduling:

Step 1: From your calendar, click on Book a Session

Step 2: Add the client you want to book for and then click on the single session button

Step 3: From here, you can schedule your sessions at whatever cadence you and your clients agreed to. Your clients will get an email confirmation and calendar invite with a link to their sessions.
